How can bar codes be used in for inventory purposes?

This article explains how bar codes can be used for inventory purposes and shows the steps for accessing bar codes in the system.

Bar codes can be used for taking inventory of materials and items used in your programs. Bar codes can be printed from the system for items. The system also supports scanning bar codes to actively inventory your program assets. Bar codes can also be used in tandem with locations to inventory items by rooms or locations of your institution. To access and print bar codes follow the steps below.


1. Click on Asset Management in the navigation menu

2. Click on Items in the Asset Management window

3. Click on the action buttons next to the item you would like to print a bar code

4. Click on Print Barcode in the options list

5. An item specific bar code will appear in a new window

To review a history of when bar codes were scanned click the Scan History button in the top right corner of the Items view of the Asset Management window. A list of Scan Histories will appear in the window.

To begin a new scan, click the New Scan button as shown below.

You can see a record of Scanned and Not Scanned items in your Item Management window as shown below. In our example, we also utilized the Location filter to help us see the inventory by room.

Reports can be run to support inventory management using the steps listed below.

  1. Click on Reporting in the Asset Management window.

2. In the Reporting window you can filter the information you would like to use for generating the report by Location, Product, Product Type, or Grouping. You can select fields to add to the report. Once you have made your selections, click Generate. The report will appear in your downloads.
