How do students create work logs and submit them for approval?

What are work logs?



When work-based learning students log in, they will see their Schedule. Students can add events to the calendar for one or more WBL experiences, which allows students and WBL coordinators to keep track of work schedules. Students can later add a description of the work completed to each event and submit a Work Log for approval. Any event added to a student's Schedule will be visible on the WBL coordinator's Schedule. Work Logs are also shown for each student of the Work-Based Learning screen for WBL coordinators.

How do students add an event to the Schedule?



First, the student will need to select the WBL experience from the selector as shown below.



Next, they can either click and drag the green box on to the calendar or click on the Add >> button to add an event.



How do students edit an event or record a description of work?



Once the event is on the calendar, it can be drug to other days and resized to adjust the date and time, or you can click on it to edit the details as shown below. Break hours are used to specify any hours that need to be subtracted from the total for lunch breaks.



What options do WBL coordinators have for approving work logs?



There are two ways in which work logs can be approved. By default, students do not have to actually submit anything for approval. Instead, WBL coordinators simply click a green checkmark to approve or a red x to decline each entry. The second option is to use a Work Log Signature Page form to authorize entries.

Either way, WBL coordinators will see an alert on the Work-Based Learning dashboard when a student has a work log entry that has not been approved. This is shown below.

Option 2: Use a Signature Page to authorize work logs



This option allows for more flexibility in who approves work logs. For instance, you can have the student and employer sign a form to verify that the recorded activities are accurate. To use this option, you'll first need to create a Form Template to use for approving work logs. Once created, click on the yellow Settings button and select WBL Types. Next, click on the ellipsis button and choose Edit. Finally, select the form template that you wish to use for the Work Log Signature Page.



How do students submit a Work Log for approval?



If you are using a Signature Page for the WBL Type that a student is enrolled in, the student will see a Submit Work Logs button on the Schedule page, as shown below. Otherwise, work logs are simply approved by the WBL coordinator as explained above.



After a student has entered a description to each entry they wish to submit, they can click on the Submit Work Logs button. If the student is involved in multiple WBL experiences, they will then be prompted to select the one that they wish to submit work logs for.



On the following screen, they will be given the option to select the days that they wish to include on the work log and will be given a confirmation of the form signers.



Clicking on Submit will begin the form submission process and the student will be prompted to review the Work Log and fill in any form fields that are present on the Signature Page that is appended.



What follows is an example of a Signature Page that the student may be asked to complete. After all required fields are completed, the student will click on the Submit button at the top of the page to send the form to the next signer.
