How do auditors use Audits?

How do administrators give auditors access to an audit?



To manage Auditor accounts, click on the Auditors button as shown below.



From the window that appears, you will see existing Auditor accounts and can add a new user by clicking on the New button.



Enter the name and email address of the auditor and click on Add Auditor to create a new account. This will send an email to the user that contains their account information, including a randomly generated password.

Note that this can be used to do an internal self-assessment as well. In that case, if the email address you use belongs to an existing account, that user will be given auditor rights for whatever classes they have access to. For existing users. their password will remain the same and an email will not be sent.



How do auditors log in?



When a new auditor account is created an email will be sent to the email address entered. This email contains a random password and a link to log in to the application. On the first successful login, the user will be prompted to change their password.



Clicking the Login Now! button will take the user to the login page of your application.



How do auditors view an audit?



When an auditor logs in, they will be taken to the Audit page. To view an audit, click on the ellipsis icon and select View (shown below).



How do auditors view audit documentation for each CTE program (class)?



When the audit is first viewed, the auditor will be prompted to select a class to see information for a specific CTE program. This is done using the class selector at the top of the screen. A class must be selected for any evidence to be shown. Non class-specific (schoolwide) evidence will be shown for all classes.



How do auditors view audit evidence?



Once a class is selected, click on a section (ie. 1. Academic Standards) to view subsections (1.1, 1.2, 1.3, etc.). Clicking on a subsection will show the evidence that was saved for this area of the audit. To view a specific piece of evidence, click the ellipsis icon and choose View.



How do auditors leave feedback?



Clicking on the ellipsis icon for a subsection will give an auditor the option to mark that area as Pass or Needs Attention. Marking something as Pass will turn the subsection green to indicate that the area has been reviewed and met the necessary criteria. Marking an item as Needs Attention will make the subsection red to indicate that requirements were not met.



Auditors can also choose the Notes option to leave comments, commendations, recommendations, and corrections. All other users will be able to respond to auditor notes and those responses will not be shown on the final report. To leave a note, Auditors must first type a message and then click the down arrow to choose the type of note to leave.



Notes that are created while a class is selected will only be shown when that class is selected. You can also create school-wide notes that are applicable to all programs if no class is selected. This also holds true for printing reports as well. If you have a class selected, the printed notes will be filtered according to your selection. To see all notes for all classes, clear the class selector.

To delete a note, you can click on the trash can symbol next to the message you wish to remove. As shown below, all notes are timestamped and the type of note is noted above each message.



How do auditors print a report?



If an audit template was used to create the audit, clicking on the Print Report button will create a Word Document using the corresponding template. If an area of the audit is marked as passed or notes have been added, they will appear in the report that is generated. Since this is a Word Document, you can make revisions to this document if needed. Note that notes for all subsections will be combined for each parent section.

NOTE: If you have a class selected, the printed notes and pass/fail status will be filtered according to your selection. To see all notes for all classes, clear the class selector. Additionally, if no class is selected, a section will only be marked as passed if all classes are marked as pass.
